Create an IME Case (Multi-Appointments Booking)

Overview

Independent Medical Examination (IME) cases require a claimant to attend an appointment so the specialist can provide an independent opinion on their injury and/or treatment. This page goes through all the initial details of an IME Report Case that are recommended to be added. There are 3 options to book an IME:

  • Search for an an appropriate specialist to book/request an appointment
  • Search for a session available to be booked through the Clinic Calendar
  • Reserve a booking for 1-3 appointments that can later be confirmed once the case manager is happy to book one of the choices

All options will lead you to the IME booking page. Although it is best to add as much details about the case as you can, not all fields within an IME Report case needs to be filled out for the case to be saved.

Important Details to Add to Create an IME Report Case

  • Client and Case Manager this case is assigned to
  • The case manager selected is the person that will correspond with us for this case
  • If your claimant has their profile created already, you can add the claimant to the case by searching through the list of claimants
  • The claimant’s details will be automatically added once selected
  • If your claimant hasn’t been created already in your service, hover over “Add/Edit” and click “Add Claimant”

  • Fill in as much information as you can about the claim:
    • Reference/Claim Number
    • Type of Claim and Report
    • Injury Date and Description

Reserve Multiple Appointments to an IME Report Case

This step only applies if you used the “Single & Multi-Appointments” service to create an IME Report case. You’ll know if an appointment hasn’t been booked if you see no details of an appointment displayed on “Specialist-Time-Location”.

To add an appointment, expand “Specialist-Time-Location” and click on “Add Appointment”.

Use Clinic Calendar to find a session to book for an appointment. If you know the specialist you are looking for, you can filter the calendar to show only their session availabilities (click “Search” to update). Use the Calendar Key to identify the type of appointment available (video vs in-person, available vs on-demand).

Once you’ve found a session to book, click on it to show its details. If you’re happy with the selection, click “Select This Session”.

The appointment’s details will be added onto the case. You can repeat the steps above to add multiple appointments into your case. Note: only one appointment can be confirmed per case. Adding multiple appointments is only advised if a case manager is not confident to confirm an appointment at the time of booking and requires a few options. The case manager will then select one appointment to confirm. Once confirmed, the other choices will be removed from the case and be made available for another booking.

Additional Appointment Details

When you’ve selected your preferred appointment to book, your booked appointment may require to additional details about the appointment. Refer to the expandable sections in “Appointment Details” below.

  • If an interpreter is required, select “Yes” and select the language required
  • Organised by Operator: 
    • Select who looks after the arrangement of the interpreter for the appointment:
      • Yes – the service provider
      • No – yourself

  • If the claimant requires a Video Assessment (Telehealth), select “Yes”
  • Fill in the new fields revealed:
    • Video Application to be used:
      • Scope Video – your service provider’s telehealth communications system
      • Zoom, Teams… – specialist’s preferred telehealth communications
    • In Claimant Arrangement, select:
      • Location where the claimant will be communicating
      • Contact Information (to send the video session link):
        • Email (mandatory)
        • Mobile (also recommended)

  • If the appointment is confirmed, tick the boxes you want to send email confirmations of the booking to

 

When done, Click “Save” to create the new case, “Close” to cancel.
